Our Policy to Protect Member’s Privacy

We, the Research Institute of Joint Diseases and HuBit Genomix, Ltd., as organizations conducting human genome analysis studies, use our information management systems with the utmost discretion according to ethical guidelines set up for genetic analysis research, clinical, and epidemiological studies. In handling personal information, we have established a strict management system to protect customer’s personal information pursuant to government’s policies and regulations such as the “Act for the Protection of Personal Information” or “Personal Information Protection Management Systems-Requirements (JIS Q 15001)”. Also all of our employees and associates abide by the protection policy which is shown on the site.

Privacy Policy

The Research Institute of Joint Disease and Hubit Genomix Ltd. have established a protection policy for personal information as follows. Both organizations and anyone involved in conducting research and business with them fully realize the policy.

Article 1
The Research Institute of Joint Diseases and Hubit Genomix Ltd., not only as researchers of gene analysis studies but also as organizations handling information, understand the importance of protecting personal information in handling our gene analysis service, and how to properly receive and use and personal information provided by our members.
Article 2
We never allow any unauthorized access to personal information. By implementing proper standard operating procedures, making anyone involved in their use fully aware of them, and seeking professional advice on improving our procedures, we protect personal information against loss, destruction, falsification, or leakage. Our ethics committee also takes proper actions to protect or modify the standard operating procedures as needed and ensures proper training of those involved.

We abide by personal information regulations, guidelines formulated by the government, administrative regulations, and other standards.
Article 4
We respect a person’s rights regarding their personal information and handle complaints or give counsel properly.
Article 5
For our management system to protect personal information, we continuously review the most advanced technology and modify our system accordingly.

Definition of Personal Information

We the Research Institute of Joint Diseases and HuBit Genomix, Ltd., define personal information commonly as follows.
We define personal information as the information about an individual. The said information includes name, birthday, or other identifiers; numbers, symbols or codes given to an individual, or something which enables identifying a person such as images or audio (included information that is not identifying by itself but by referring to other information, it could easily become identifying). Furthermore, it includes not only identifying information but also any kind of information that describes truth, valuation and opinions about one’s corporeity, assets, occupation, status, qualities, etc. We protect and manage personal information with utmost attention and effort pursuant to the “protection policy of personal information”.

This policy covers all personal information we handle in conducting business.

Receiving, Using, and Third Parties

(1) We, the Research Institute of Joint Diseases and HuBit Genomix, Ltd., receive anduse personal information to attain goals only in the specific range stated below in conducting human genome analysis studies and information handling services. Also when we receive personal information, the purpose of taking and using the information is always clearly explained to our customers before their consent.
a) To provide information or services stipulated in the contract or to arrange meetings with customers

b) To provide customers with secondary services such as healthcare coordination, send notice for upcoming a study sessions or seminars, or to announce new services.
c) To conduct business entrusted to us by our customers such as system development, operation, and maintenance.
d) To provide various membership services.
e) To respond to various inquiries.
f) To analyze and improve products or services based on customer surveys.
(2) We the Research Institute of Joint Diseases and HuBit Genomix, Ltd, never give personal information to third parties without prior consent from our customers with the following exceptions;
a) It is ordered by law.
b) It is necessary to protect the life, corporeity or assets of an individual and it is difficult to receive consent.
c) It is necessary to cooperate with national organizations, local public authorities, or their assignees in conducting clerical duties under the provision of the law and it could be an obstacle in conducting the said duties if consent from an individual were requested.
d) We consign the handling personal information only to receive and use it in conducting our business.
e) It is necessary to provide personal information in the case of business succession, a merger or other reasons.
(3) We, the Research Institute of Joint Diseases and HuBit Genomix, Ltd. May provide our customer’s personal information such as names, addresses of workplaces or homes, phone numbers, fax numbers, e-mail addresses, etc. to the said organization’s group businesses when we conduct a joint business activities. In such cases our customer’s personal information is provided on paper or electronic medium. However an individual can request that we do not provide their personal information to our group businesses.
